Privacy statement of applicants
Solarclarity values the privacy of job applicants. When processing your personal data, we comply with the requirements of the General Data Protection Regulation (GDPR).
You share your personal data with us, and we handle this data with care. We comply with the laws and regulations that deal with the use and storage of personal data, including the General Data Protection Regulation (GDPR). We would like to explain what we do with your personal data. This privacy statement applies to anyone applying for a job at a company within the Solarclarity Group. Furthermore, this statement applies to open applications, as well as applications for existing vacancies.

What is personal data? Personal data is information about a person or information that can be traced back to a person. For example your name, address and contact information. When do we process your personal data? By processing, we mean everything we do with your personal data, such as storing, viewing, analysing, forwarding (internally) and deleting.
We process your personal data when:
You apply for a job with us, for example on our website or through external sources such as LinkedIn or Indeed.
You leave your contact information on our website.
You share your resume with us, by email or otherwise.
You have contact with us.
You come to work for us through an external (secondment) agency or as an independent contractor.
Why do we process your personal data? The main reasons we process your personal data are:
We need the data to make sure we can hire people in the best way possible, the recruitment process.
We need the data to see if you can come work with us, the selection process.
If we want you to come and work with us, we need the data to make you an offer. In that case, we use the data to prepare the employment contract.
The legitimate basis for processing personal data throughout the application process is our legitimate interest. What will we do with your personal data?
Assessing your suitability Solarclarity looks to see if you are suitable for the position you are applying for. We look at the requirements for the position and if you meet them. Reference checks can also be conducted for this purpose. Sometimes it is necessary for us to conduct an assessment. If this applies to you, we will inform you in advance.
The offer and the employment contract If the outcome of the application process is positive and Solarclarity offers you a job, your data will be used to prepare an offer. If you accept the offer, we use the same data to draw up the employment contract. If you join us through an external (secondment) agency or as an independent contractor, we will draw up a contract of assignment.
Communications Solarclarity will contact you during the application process, for instance about job interviews, assessments and other appointments we make. We also answer any questions you may have.
Talent Pool If you are interested, you can submit your personal data in our Talent Pool. If you would like to work at Solarclarity, but we do not have a vacancy that matches your profile, you can still share your data with us. We will then contact you if we have relevant information or a vacancy for you. By registering in the Talent Pool, you give us consent to process your personal data for this purpose. We will store the data you share with us for a period of maximum 12 months.
Recruiting to the best of our ability To make sure that we recruit properly, we create reports and analyses that may involve personal data. For example, if we see that many applicants are responding from abroad while it is necessary that the position is filled by someone living in the Netherlands, we use this information to adjust the job description.
The website If you apply via our website solarclarity.recruitee.com, we use your personal data to make sure the website works properly. If you accept the cookies, we also use your data for other purposes such as providing recommendations or advertising. More information about this can be found in Solarclarity’s Cookie Policy.

Does Solarclarity use automatic decision-making in the application process? No, that is not the case. All decisions, whether it is an invitation or a rejection, are made by the Recruitment team of Solarclarity. Who do we share personal data with? Sometimes it is necessary for us to share your personal data with other parties. The main reasons are:
We engage an external party to help us execute our work. Such an external party only works on our instructions and does not process the data for its own purposes. We also assess in advance if this party secures and handles the data properly. To guarantee this, we lay these agreements down in contracts. Examples of these parties are assessment agencies or companies that support us in managing IT systems and applications.
It is required by law. For example, you can think of data that we have to provide to supervisors, the police or other investigation services. Before we do so, we always check if they are allowed to request this data from us.
For how long do we store your data? Solarclarity stores your personal data during and shortly after the application process. If you are not employed by us, your personal data will be deleted from our database, or anonymized, no longer than four weeks after completion of the application process. Only with your consent we will store your personal data us for a period of maximum 1 year after the end of the application process. This allows us to reach you later if a suitable vacancy arises again. You will hereby be registered in the Talent Pool. How do we secure your personal data? We will do everything we can to handle your personal data as securely as possible. In this regard, we take both technical and organizational measures to enhance security. We also demand a high standard of security from our external parties who help us carry out the application process. We therefore conclude a data processing agreement with parties who process personal data on behalf of Solarclarity.
At Solarclarity, only employees who need the data for carrying out their work, may process your personal data. All our employees have signed for confidentiality in their employment contract. Our external employees (posted workers, independent contractors) have signed a separate non-disclosure agreement.
Finally, in the application process no personal data are processed outside of the European Union.
What are your rights regarding the personal data we hold about you?
You have the right to know what personal data we hold about you and what we do with this data. Hopefully, this privacy statement provides sufficient information, but if not please contact us.
You have the right to access, rectify or erase your personal data or restrict the use of your personal data.
You may object to the processing of your personal data.
You have the right to receive your personal data from us in a manner that allows you to easily transfer the data to another person.
Finally, you also have the right not to be subjected to a decision based solely on automated processing. But as you may have already read, no automatic decision-making takes place at Solarclarity.
